Terms & Conditions

Please read these Terms and Conditions ("Terms") carefully before registering your child for a Decatur Chess Club Summer Camp ("Camp"). By completing registration and submitting payment, you ("Parent/Guardian") agree to these Terms on behalf of yourself and the registered camper.

1. Camp Overview

The Camp is operated by Decatur Chess Club ("we," "us," or "Club") at 607 Church St NE, Decatur, AL 35601. Camp dates are June 1, 2026 through June 5, 2026, with daily hours of 9:00 AM to 12:00 PM. Camp is open to children ages 5 through 12. Programming includes chess instruction, supervised practice games, tournaments, and group activities.

2. Registration and Eligibility

• Registration is complete only when the registration form is submitted, all required acknowledgments and waivers are signed by a parent or legal guardian, and payment is received in full.
• Spots are limited and offered on a first-come, first-served basis.
• We reserve the right to decline or revoke any registration at our sole discretion.
• The camper must be between the ages of 5 and 12 as of the first day of camp.

3. Fees and Payment

• The Camp fee is $125 per camper for the full session.
• Payment is due in full at the time of registration.
• Payment is processed securely online via Stripe at the time of registration through the Club's website (decaturchess.club).
• Fees include instruction, all chess equipment for use during camp, and daily snacks. Fees do not include lunch, transportation to and from camp, or any items the camper chooses to purchase outside of camp.

4. Cancellation and Refund Policy

• Cancellation more than 14 days before the first day of camp: Full refund minus a $25 administrative fee.
• Cancellation 7 to 14 days before: 50% refund.
• Cancellation fewer than 7 days before, or after camp begins: No refund.
• Cancellation by the Club for any reason — including insufficient enrollment, weather, facility issues, or public health concerns — will result in a prorated refund of unused camp days, or, at our option, a credit toward a future Club program.
• Refunds for missed days due to illness, family travel, or other personal reasons are not provided. We may, at our discretion, offer a credit toward a future program.

5. Drop-Off and Pick-Up

• Drop-off begins at 8:50 AM. Campers should not be dropped off earlier, as no supervision is provided before that time.
• Pick-up is at 12:00 PM. A late pick-up fee of $1.00 per minute will be charged after a 10-minute grace period (i.e., beginning at 12:10 PM).
• Campers will be released only to the parent/guardian or to individuals listed on the camper's authorized pickup list. Photo ID may be required.
• If someone not on the list will be picking up, the parent/guardian must notify the camp director in writing in advance.

6. Health, Safety, and Medical

• Parents/guardians must disclose all relevant medical conditions, allergies, medications, and dietary restrictions on the registration form.
• Campers requiring prescription medication during camp hours must have a separate medication authorization form on file.
• In the event of injury or illness, we will make reasonable efforts to contact the parent/guardian. If a parent/guardian cannot be reached and emergency care is needed, we are authorized to seek appropriate medical treatment, the cost of which is the parent's/guardian's responsibility.
• Campers who appear ill, contagious, or unable to participate safely may be sent home.

7. Personal Property

The Club is not responsible for lost, stolen, or damaged personal items, including phones, tablets, watches, jewelry, clothing, or chess equipment brought from home. Please label all belongings.

8. Photography and Media

Group photos and video may be taken during camp for the Club's records and, with separate written consent, for promotional purposes (website, social media, newsletters). A separate Photo/Media Release form will be provided; signing it is optional and does not affect participation.

9. Code of Conduct

All campers and parents/guardians are required to comply with the Camp Code of Conduct, which is provided as a separate document and acknowledged at registration. The Club reserves the right to dismiss any camper for violations of the Code of Conduct, with no refund for the remaining days of camp.

10. Liability and Assumption of Risk

Participation in the Camp involves ordinary risks associated with group activities involving children, including but not limited to minor injuries, illness, and interpersonal conflict. A separate Liability Waiver and Release will be provided and must be signed by a parent or legal guardian as a condition of participation. These Terms do not replace that waiver.

To the maximum extent permitted by Alabama law, the Club's liability under these Terms is limited to the amount of fees paid for the affected camper.

11. Changes to Camp

We reserve the right to modify the camp schedule, location, staff, curriculum, or activities as needed to accommodate weather, facility availability, instructor availability, public health guidance, or other circumstances. Material changes will be communicated to parents/guardians as soon as reasonably possible.

12. Communications

By registering, you consent to receive camp-related communications (email, text, or phone) at the contact information you provide. You may opt out of non-essential marketing communications at any time, but operational and safety communications will continue throughout the camp session.

13. Privacy

Information collected during registration is used to operate the Camp safely and is not sold to third parties. Information may be shared with camp staff and, in emergencies, with medical or emergency personnel. Photos and video are handled per Section 8.

14. Force Majeure

The Club is not liable for failure to provide camp services due to events beyond our reasonable control, including severe weather, natural disasters, public health emergencies, government action, facility closure, or utility outages. In such cases, the cancellation and refund terms in Section 4 apply.

15. Governing Law and Disputes

These Terms are governed by the laws of the State of Alabama, without regard to its conflict-of-laws principles. Any dispute arising under these Terms will be resolved in the state or federal courts located in Morgan County, Alabama, and the parties consent to the jurisdiction of those courts.

16. Entire Agreement

These Terms, together with the Code of Conduct, the Liability Waiver, the Photo/Media Release (if signed), and the completed registration and medical forms, constitute the entire agreement between the Club and the parent/guardian regarding the Camp. If any provision is held unenforceable, the remaining provisions remain in effect.

Acknowledgment

By checking the registration acknowledgment box and submitting the registration form, I confirm that I am the parent or legal guardian of the registered camper, that I am at least 18 years old, that I have read and understood these Terms and Conditions, and that I agree to be bound by them.
